The Head of Personal Assistant will be responsible for managing executive schedules, providing clerical and administrative support, and assisting with day-to-day tasks. The role involves diary management, ensuring that all appointments and meetings are scheduled efficiently. The position also requires excellent communication skills to manage correspondence and facilitate effective communication within the team and with external partners.

KEY RESPONSIBILITIES
  • Team Management:: Oversee the day-to-day operations of the PA team, including assigning tasks, monitoring performance, and providing feedback.
  • Administrative Support: Provide administrative and logistical support to the executive team, including scheduling meetings, managing calendars, handling travel arrangements, and preparing reports.
  • Communication: Act as a liaison between the PA team and the executive team, ensuring effective communication and collaboration.
  • Project Management: Manage specific projects or initiatives as assigned by the executive team, ensuring they are completed on time and within budget.
  • Training and Development: Provide training and development opportunities to the PA team to enhance their skills and knowledge.
  • Problem Solving: Address any issues or concerns raised by the PA team or the executive team in a timely and efficient manner.
  • Financial Planning and Budgeting: Developing and implementing financial strategies, budgets, and forecasts.
  • Financial Reporting: Preparing and reviewing financial statements, including income statements, balance sheets, and cash flow statements.
  • Accounting and Auditing: Overseeing the accounting department, ensuring accuracy and compliance with financial regulations.
  • Strategic Business Planning: Working with other executives to develop and implement strategic plans
  • Manage finance personnel and oversee financial systems: ensuring compliance with relevant regulatory entities (ex: Financial Accounting Standards Board, Internal Revenue Service, state attorneys general)
  • Reporting to Stakeholders: Communicating financial performance to shareholders, investors, and other stakeholders.
REQUIREMENT
  • Bachelor’s Degree in Finance and Accounting, Business Administration, Communications, or related field.
  • Experience supporting executive leadership in fast-paced organizations.
  • Proven experience as a Personal, Executive Assistant in a corporate setting.
  • Minimum 3-5 years’ experience in accounting and financial management practices.
  • Strong command of Microsoft Office, especially PowerPoint and Excel.
  • Excellent communication, interpersonal, and time management skills.
  • High attention to detail, proactive mindset, and professionalism under pressure.
  • Strong coordination skills across multiple stakeholders and departments.
  • Highly motivated, self-directed, and adaptable with a willingness to travel.
  • Good in English speaking
